2. Service Estimates and Quotes
Free Estimates
We provide free, no-obligation estimates for painting projects in Santa Rosa and the surrounding area. Estimates are prepared after an on-site review of your property and the work to be completed.
Quote Validity
- Written estimates remain valid for 30 days from the issue date.
- Pricing may change after 30 days because of material cost shifts, labor updates, or changes in project scope.
- Estimates are based on what we can see during the initial walkthrough. Hidden damage, extra prep work, or scope changes found during the project may lead to added charges.
Scope Changes
If additional work becomes necessary beyond the original estimate, we will:
- Let you know promptly.
- Send a written change order with updated pricing.

3. Service Agreements and Contracts
Binding Agreement
Once you accept a written estimate and pay any required deposit, a binding service agreement is created between you (the "Customer") and Santa Rosa Paint Pros.
The service agreement includes:

- Project timeline and estimated completion date
- Total project cost and payment schedule

Customer Responsibilities
As the Customer, you agree to:

- Remove or secure furniture, valuables, and personal items from work areas before the project starts.
- Keep pets and children away from work areas for safety.
- Share any concerns or special requests before work begins.
- Keep utilities such as water and electricity available at the property during the project.
4. Payment Terms
Deposit
A deposit is required to reserve your project on our schedule:
- Projects under $2,000: 50% deposit required
- Projects $2,000–$10,000: 30% deposit required
- Projects over $10,000: 25% deposit required
Payment Schedule
- Deposit: Due when the service agreement is signed.
- Progress payments: Required for projects lasting longer than two weeks; amounts and due dates are listed in the contract.
- Final payment: Due when the project is complete and your final walkthrough is approved.
Accepted Payment Methods
We accept the following payment methods:
- Cash
- Personal or business checks
- Credit cards (Visa, MasterCard, American Express, Discover)
- Electronic bank transfers (ACH)
- Digital payment platforms (Zelle, Venmo)
Late Payments
- Invoices not paid within 15 days of the due date may be charged a 1.5% monthly late fee.
- Balances unpaid after 60 days may be sent to a collections agency.
- The Customer is responsible for all collection costs, including attorney fees.
5. Cancellation and Refund Policy
Customer Cancellations
- More than 7 days before the scheduled start date: Full refund of deposit, minus a $75 administrative fee.
- 3–7 days before the scheduled start date: 50% refund of deposit.
- Less than 3 days before the scheduled start date: Deposit is non-refundable.
Company Cancellations
If we need to cancel a project because of unexpected circumstances such as severe weather, material shortages, or crew illness, we will:
- Notify you as quickly as possible.
- Offer a new date that works for both sides.
- Issue a full refund if rescheduling cannot be arranged.
Weather-Related Delays
Exterior painting projects in Santa Rosa and Sonoma County depend on weather conditions. We monitor forecasts closely and may delay exterior work because of:
- Rain or high humidity
- Extreme heat (above 95°F)
- High winds
- Freezing temperatures
Rescheduling for weather does not qualify for a refund, but the work will be finished at the earliest available time.
6. Project Timeline
Estimated Duration
Timelines given during the estimate are approximate and may change because of:
- Weather conditions
- Scope changes or additional repairs
- Material availability
- Unforeseen site conditions (mold, lead paint, structural damage)
Lead Paint Disclosure
Homes built before 1978 may contain lead-based paint. We follow all EPA RRP (Renovation, Repair, and Painting) Rule guidelines. If lead paint is found, work will pause and you will be informed about the added costs and steps needed for safe handling.
7. Warranty and Guarantees
Workmanship Warranty
Santa Rosa Paint Pros includes a workmanship warranty on completed projects:
- Interior painting: 3-year warranty against peeling, blistering, and chipping caused by improper application.
- Exterior painting: 2-year warranty against peeling, blistering, and chipping caused by improper application.
Warranty Exclusions
Our warranty does not cover:
- Normal wear and tear
- Damage caused by the Customer, third parties, pets, or pests
- Structural defects, settling, or foundation movement
- Moisture intrusion from roof leaks, plumbing failures, or poor drainage
- Fading due to UV exposure
- Paint applied to surfaces not prepared or recommended by us
- Previously painted surfaces with underlying adhesion failure
- Acts of God (earthquakes, floods, fire, storms)
Warranty Claims
To submit a warranty claim:
- Contact us in writing using the address or email listed on our Website.
- Include photos of the affected area and your original contract.
- Allow us to inspect the property before any repairs are made.
- Repairs completed by third parties without approval void the warranty.
8. Liability and Insurance
Insurance Coverage
